Creating Follow-up Material

What is Follow-up Material?

Follow-up Material is a specialized output in CoRecruit designed to transform your call transcripts into professional, long-form documents. While standard Notes are intended for short summaries that sync with your ATS, Follow-up Materials are comprehensive assets built for external sharing or deep internal reporting.

This feature allows you to automatically generate high-impact content such as:

  • Candidate Submittals for pitching talent to clients.

  • Hiring Manager Emails and candidate "Thank You" messages.

  • Executive Summaries and technical skills matrices.

  • Reference Check Summaries and internal debrief memos.

Once the AI creates the draft, these materials can be downloaded as a branded PDF file, ready to be sent to your clients or colleagues.

How to Access and Set Up

You manage your follow-up materials within your Team Settings.

  1. Navigate to your Meeting Types.

  2. Select the specific meeting type you wish to edit and click into the Follow-Up Material section.

  3. Remember: If your goal is a quick note for your ATS, use the Notes section; use Follow-Up Material specifically for document creation.

 

"One-Shot" and "Few-Shot" Prompting

To get the most accurate tone and structure, follow-up prompts often use a technique called One-Shot Prompting. This involves giving the AI a fictitious or previous example (like a "John Doe" bio) to follow.

  • Replicating Tone and Structure: The AI reads your example to replicate the professional tone, the specific topics mentioned, and the formatting (such as bold headers or bullet points).

  • The "Few-Shot" Approach: If you want the AI to learn from multiple styles, you can provide two or more examples separated by quotation marks. The AI will synthesize the best elements from both to create the final output.

  • Role-Matching: For the best results, use an example that matches the industry of the call. For instance, a medical-based example works best for medical-based calls; using a construction example for a medical call may lead to inconsistent topics.

Prompting Essentials for Documents

Every follow-up prompt still follows the "Three details" of prompt writing:

  1. Instruction: Start with a clear task, such as "Your job is to create a candidate submittal".

  2. Target: Specify if the AI should use information from the Participant or the Host.

  3. Details and Rules: For follow-up material, use the phrase "For your response, use this example" followed by your template.

Finalizing Your Draft

CoRecruit produces a high-level draft that is typically 80% to 90% complete.

  • Review: Always open the generated summary to ensure it contains all necessary information.

  • The Sync Button: If the AI missed the mark or you want a fresh version, click Sync to have it retry the prompt using the same transcript.

  • Export: Once finalized, you can download your material as a PDF file that includes your professional document branding, ready to be sent to your client.
