Microsoft Outlook Admin Approvals and Permission Issues

When you connect your Outlook calendar to CoRecruit, Microsoft may show a "Need admin approval" message. This happens because many organizations require an admin to approve any app that reads calendar data. Your admin can approve CoRecruit once, and your whole team can then connect without further prompts.

This article explains what the message means, what CoRecruit asks for, and how your admin can approve it.

What CoRecruit asks for

CoRecruit’s Outlook integration uses the following Microsoft permissions:

Permission What it allows
openid Lets Microsoft confirm which account you're connecting
email Lets CoRecruit see the email address of the account you connect.
User.Read Lets CoRecruit read your basic profile, such as your name
offline_access Keeps your calendar connected so you don't need to reconnect each time
Calendars.Read Lets CoRecruit read the events on your calendar

CoRecruit doesn’t ask to read the messages in your inbox or your contacts, and doesn’t ask to change anything on your calendar.

Whether you can approve these permissions yourself depends on how your organization’s Microsoft Entra settings are configured.

Entra is the Microsoft service your IT team uses to manage sign-ins and app access. Many organizations require an admin to approve calendar permissions, so you may need your admin’s help.

Option 1: Request approval from your company IT admin.

When you connect your Outlook calendar, Microsoft may show Need admin approval. If your organization allows it, Microsoft also shows a way to request approval.

  1. Select the option to request approval.
  2. Add a short message explaining why you need the connection, for example “I need to connect my calendar to CoRecruit for meeting notes.”
  3. Submit the request. Your admin receives it and can approve or decline.
  4. Return to CoRecruit and connect your calendar again once your admin approves.

Approvals can take a few minutes to take effect after your admin approves the request.

Option 2: Your admin approves CoRecruit directly

If the request option doesn’t appear or doesn’t work for your team, your admin can approve CoRecruit in one step. This approves CoRecruit only and doesn’t change how Microsoft treats any other app in your organization.

  1. Sign in to the Microsoft Entra admin center as an admin.
  2. Go to Enterprise apps and select CoRecruit.
  3. Select Permissions, then Grant admin consent.
  4. Review the permissions CoRecruit is asking for, then confirm.

After your admin approves, your team members can connect their calendars without an approval prompt. Changes can take a few minutes to take effect.

Note: Your admin can also do this from the Microsoft Entra admin center. Go to Enterprise apps, select CoRecruit, then select Permissions and Grant admin consent.

If CoRecruit doesn’t appear in Enterprise apps

CoRecruit shows up under Enterprise apps only after your organization has approved it. A team member’s first attempt to connect may not add it, so it’s normal not to find it yet. Try these in order.

Check for a pending request

  1. In the Microsoft Entra admin center, go to Enterprise apps, then Admin consent requests.
  2. Look for a request from CoRecruit.
  3. Open the request, review the permissions, and approve it.

You only see this page if your organization allows team members to request approval.

Connect your own calendar as an admin

If you have a CoRecruit account, sign in to Microsoft as an admin and connect your own Outlook calendar from CoRecruit. Microsoft may show an option to approve on behalf of your organization. Select it, then accept.

If your admin changed a permission setting earlier

Warning: Earlier versions of this article suggested classifying Calendars.Read as a “low impact” permission. That setting applies to every app in your organization, not only CoRecruit. If your admin made this change, we recommend removing it. In the Microsoft Entra admin center, go to Enterprise apps, then Consent and permissions, then Permission classifications, and delete the entry. Check that no other app relies on it first, then use Option 2 so CoRecruit is approved on its own.

Frequently asked questions

Why do I see “Need admin approval” when I connect Outlook?

Your organization requires an admin to approve apps that read calendar data. This is a Microsoft security setting, and CoRecruit can’t change it. Use Option 1 to ask your admin for approval, or share Option 2 with them.

Do I need to change any other Microsoft settings?

No. Your admin only needs to approve CoRecruit. You don’t need to change permission classifications or any organization-wide consent settings.

I still see the message after my admin approved. What should I do?

Wait a few minutes, then try connecting your calendar again. If the message continues, ask your admin to confirm the approval was granted for CoRecruit and not only requested.

Why can’t I find CoRecruit in Enterprise apps?

CoRecruit appears there only after your organization has approved it. Check for a pending request or connect your own calendar as an admin, as described in “If CoRecruit doesn’t appear in Enterprise apps.”

Can my admin see what CoRecruit asked for before approving?

Yes. Microsoft shows the full list of permissions on the approval screen. The list is also in the table at the top of this article.
