What Are Team Wide Meeting Types?
Meeting types are templates that define how notes and follow-up materials are structured and captured during a call or meeting. Team Wide meeting types are shared across your entire organization, every team member can see them, use them, and have them applied to their meetings by CoRecruit's AI prediction engine.
Team Wide meeting types are the backbone of a consistent recruiting workflow. They ensure that regardless of who on your team runs a first-round screen or a final interview, notes land in the same structure, making it easier to review, compare, and push to your ATS.

Who Can Create and Manage Team Wide Meeting Types?
Creating and editing Team Wide meeting types is controlled by your team's role and permission settings. Typically:
- Admins can create, edit, archive, and delete any team-wide meeting type.
- Other roles may be able to create team-wide meeting types depending on your RBAC configuration, check with your admin if you're unsure.
- Any team member can convert one of their own Personal meeting types to Team Wide, if they have the required permission.
💡 Tip
If you don't see the option to create a Team Wide meeting type, your admin may have restricted this. Contact your team admin to review your permissions.
Creating a Team Wide Meeting Type
New meeting types default to Personal, so to create a team-wide meeting type, you'll need to switch the visibility during the creation flow or after it is created.
Step by step
- Go to Settings → Meeting Types.
- Click Add a Meeting Type.
- At the top of the creation form, the visibility will be set to Personal by default.
- Click the visibility checkbox and select Team to make it team-wide.
- Fill in the meeting type name, description, database notes and follow-up material fields.
- Click Save. The meeting type will immediately appear in the Team Wide tab for all team members.

Finding and Managing Team Wide Meeting Types
The Meeting Types screen is divided into two tabs: Personal and Team Wide. Open the Team Wide tab to see all shared templates across your organization.
From the Team Wide tab you can:
- Search meeting types by name.
- Sort alphabetically or by last updated date.
- Filter by Published or Archived status.
- Edit, clone, archive, or delete meeting types via the three-dot menu (⋯) on each row.
Each row in the list shows the meeting type name and description, type (Team Wide, with a group icon), who created it, and when it was last updated.
How Team Members Use Team Wide Meeting Types
Team Wide meeting types appear in the meeting type dropdown for every user on the team — on the upcoming meeting modal, the ongoing call screen, and the completed meeting detail view. Users can select a team type at any point before, during, or after a meeting.
Team Wide meeting types are also the only types eligible for AI-powered meeting type prediction. When CoRecruit automatically assigns a meeting type to a completed meeting, it will only ever suggest team-wide types — never a personal one belonging to another user.
Draft, Published, and Archived States
Team Wide meeting types can exist in one of three states:

Promoting a Personal Meeting Type to Team Wide
If a team member has built a useful personal meeting type and wants to share it with the whole team, they can convert it, provided they have the required permissions.
- Go to Settings → Meeting Types and open the Personal tab.
- Click the three-dot menu (⋯) next to the meeting type.
- Select Convert to Team.
- Confirm in the dialog that appears.
- The meeting type moves to the Team Wide tab and becomes visible to all team members immediately.

Frequently Asked Questions
Can a team member edit a Team Wide meeting type I created?
By default, editing is restricted to admins and the original creator (if their role permits it). Team members with roles that don't have edit permissions can use the meeting type, but cannot edit the original. Your admin can adjust this in RBAC settings.
What happens if I archive a Team Wide meeting type that has been used in past meetings?
Archiving hides the meeting type from the dropdown and disables AI prediction for it, but it does not affect historical meeting records. Past meetings that used the archived type retain their notes, follow-up materials and the meeting type reference.
Can I set a Team Wide meeting type as the default for the whole team?
When you star any meeting type in the list, you mark it as the default for your own account. The starred type will be pre-selected for new meetings. Individual members can set their own default within their own view.
What happens to Team Wide meeting types created by a user whose account is deleted?
Team Wide meeting types are preserved when their creator is deleted. They remain active and fully usable by the team. The deleted meeting type will be reassigned to another user in the team. Only the deleted user's Personal meeting types are removed.
Does cloning a Team Wide meeting type create a team or personal copy?
Cloning always creates a Personal copy by default. If you want the clone to be Team Wide, switch the visibility in the creation form before saving.
