How to Manage your CoRecruit Calendar

This article explains how to connect your calendar to CoRecruit, control which events are synced, and decide when the bot joins meetings automatically.

 

 

Integrating Your Calendar

  1. Access Integration Settings:

    • Click the settings (gear) icon in the top menu.
    • Select Integrations from the menu in the left panel.
  2. Connect Your Calendar:

    • Scroll to the Communication Integrations section or search for your preferred calendar in the search bar.
    • Choose Google Calendar or Microsoft Outlook.
    • Choose your preferred calendar sync options or go with the default option for which calendar events to sync to CoRecruit.
    • Click Connect and complete the authorization flow.
  3. Sync Your Calendar:

    • Allow up to 15 minutes for the initial sync.
    • After connecting, return to the dashboard to view your synced meetings under Upcoming Meetings.

Choosing Which Calendar Events to Sync

When you connect your calendar, you can control which events are pulled into CoRecruit. Only synced events appear in your CoRecruit calendar and become eligible for the meeting bot to auto-join.

You can choose one of the following sync rules:

Only events that match your selected rule will appear in CoRecruit.

Managing Meeting Preferences

  1. Toggle Bot Auto Join:

    • Within the 'Upcoming Meetings' section, use the asterisk button to toggle the bot's auto-join feature on or off.
    • Decide which meetings you would like the bot to join automatically.
  2. Set Up Meetings Correctly:

    • Ensure that each meeting in your calendar has a valid video conference link (e.g., Zoom or Teams) in the location field. This makes the event valid for CoRecruit's automatic joining.
  3. Automate Participation:

    • CoRecruit can identify which meetings to join automatically. This feature is accessible from your profile settings where you can specify preferences for the bot to join external and internal calls.

    • Bots Join External Calls: CoRecruit will join calls where participants do not share your email domain.

    • Bots Join Internal Calls: CoRecruit will automatically join calls where participants share the same email domain as yours.

Additional Tips

  • Review Your Settings Regularly: Check your integration and bot settings regularly to ensure they align with your current meeting needs and preferences.
  • Test the Integration: After setting up the integration, test by scheduling a meeting with a video conference link to see if CoRecruit joins as expected.
